Privacy Policy

1. Who we are

HouseManager (“we”, “us”, “our”) is a personal household management service operated at housemanager.uk. We are the data controller for the personal data you provide when using our service.

2. What data we collect

We collect only the data you actively provide:

  • Account data — email address, full name, household name.
  • Vehicle data — registration plates, MOT records, fuel entries, insurance records, service logs, tyres, valuations, incidents, and documents you upload.
  • Financial data — payslip details, purchase decisions, and bill records you enter.
  • Shopping data — shopping lists, items, and sharing preferences.
  • Property data — property details, appliance records, maintenance logs, warranties, and regular check schedules.
  • Technical data — session tokens, IP address (via Supabase auth), and browser/device type (via Vercel analytics, if you consent).

We do not collect any special-category data (health, biometric, etc.) and we do not build advertising profiles.

3. Why we collect it (legal basis)

  • Performance of a contract (UK GDPR Art. 6(1)(b)) — account data and all module data are processed to provide the service you signed up for.
  • Legitimate interests (Art. 6(1)(f)) — session management, security, and preventing fraud.
  • Consent (Art. 6(1)(a)) — analytics cookies and email reminders are only processed where you have given explicit consent. You may withdraw consent at any time in Settings.

4. Who we share data with

We use the following sub-processors. All are bound by data processing agreements and operate to an adequate standard under UK GDPR:

  • Supabase, Inc.(database & authentication) — your data is stored in Supabase's hosted PostgreSQL database. Supabase is certified under the EU–US Data Privacy Framework and provides ISO 27001-compliant infrastructure.
  • Vercel, Inc.(hosting & analytics) — the application is deployed on Vercel. Vercel may collect anonymised request metadata. Vercel Analytics is only loaded with your consent.
  • Stripe, Inc. (payments) — if you subscribe to HouseManager Plus, your payment details are processed directly by Stripe. We never see or store your card number. Stripe is PCI-DSS Level 1 certified.
  • Resend, Inc. (transactional email) — used to send reminder emails if you have opted in. Only your email address and reminder content are shared.

We do not sell your data to any third party.

5. How long we keep your data

Your data is retained for as long as your account exists. When you delete your account (via Settings → Account → Delete account), all your personal data is permanently deleted from our systems within 30 days. Stripe may retain billing records for up to 7 years for legal and tax compliance.

6. Your rights under UK GDPR

You have the right to:

  • Access — request a copy of your personal data (use the “Export my data” button in Settings).
  • Rectification — correct inaccurate data (editable directly in the app).
  • Erasure — delete your account and all associated data (Settings → Account → Delete account).
  • Portability — receive your data in a machine-readable format (JSON export in Settings).
  • Objection — object to processing based on legitimate interests.
  • Withdraw consent — turn off analytics cookies via the consent banner, and opt out of reminder emails in Settings.

To exercise any right not already covered by self-service tools, email privacy@housemanager.uk. We will respond within 30 days.

You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint.

7. Cookies

We use two categories of cookies:

  • Strictly necessary — session cookies set by Supabase to keep you logged in. These are required for the service to function and do not require consent.
  • Analytics— Vercel Analytics and Speed Insights, which collect anonymised usage data to help us improve the service. These are only set if you click “Accept” in the cookie banner. You can change your preference at any time by clearing your browser cookies.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email or a prominent notice in the app at least 14 days before they take effect. Continued use of the service after that date constitutes acceptance of the updated policy.
